How we handle your data.

Information on how personal data is processed (Arts. 13–14 GDPR) for people who visit this site or contact us, in plain words. For cookies, see the Cookie Policy.

Data controller

The data controller is HAIDO Engineering S.r.l., based in Milan at Via Fratelli Bronzetti 19, 20129 (MI), Italy, VAT no. 14849890968, registered in the Milano Monza Brianza Lodi business register (REA no. MI-2811203). For any question about your data write to info@haidoengineering.com or to our certified email (PEC) haidoengineering@pec.it.

What data we collect

What you enter yourself: name, company, email, phone number, country and message text and, if you enter them, invoicing details (customer type, VAT number, tax code, SDI code or PEC, address) when you use the “Work with us” and “Talk to us” (appointment request) forms or the chat; email and password for the Client area, and the content of remote-assistance requests. The server also records technical browsing data (IP address, date and time, requested page, browser type) for security and to keep the site running properly. A simple built-in counter counts the pages read in an anonymous, aggregate way, without cookies and without storing IP addresses or identifiers. If you consent to statistics cookies, Google Analytics also collects site-usage data (pages visited, length of visit, device and browser type, approximate geographic area, referring site) linked to a random identifier: see the Cookie Policy.

Why we use it, and on what legal basis

To reply to your requests and arrange appointments (pre-contractual steps or contract, Art. 6(1)(b) GDPR); to provide the Client area and remote assistance to customers (contract); for site security, to prevent abuse and spam, for a built-in anonymous, aggregate counter of pages read and to improve the virtual assistant (legitimate interest, Art. 6(1)(f)); for usage statistics with Google Analytics, only if you consent in the banner (consent, Art. 6(1)(a), which you can withdraw at any time); to comply with legal obligations (Art. 6(1)(c)). Data is not sold or used for profiling, and we do not send promotional messages without your consent.

Whether providing data is mandatory

In the forms and for Client-area access, the fields marked as required are needed so that we can reply to you or recognise you: if you do not provide them we cannot follow up on your request. The other data is optional. You do not have to provide any personal data to browse the site, and consent to statistics cookies is optional: if you refuse, the site works exactly the same.

How long we keep it

For as long as needed to handle your request and any commercial or support relationship that follows, and then for the periods required by law (for example tax and accounting rules). Chat conversations and technical server logs are kept for a limited period and then deleted or anonymised; the temporary counters used against abuse (limits on the number of requests and login attempts) are deleted within 24 hours. Google Analytics statistics data is kept for a maximum of 14 months.

Who can see the data, and transfers abroad

Authorised HAIDO staff and the providers who help us run the site, such as the hosting and email service (IONOS), appointed as data processors. If the virtual assistant uses a third-party artificial-intelligence service, the text of the messages is sent to that provider only to generate the reply; if it is based outside the European Economic Area, the transfer takes place with the safeguards required by the GDPR. Please do not enter sensitive data in the chat. Data is not disclosed publicly. If you consent to statistics cookies, site-usage data is also processed by Google (Google Ireland Limited and Google LLC) as data processor for the Google Analytics service; Google may process it outside the European Economic Area (for example in the United States) with the safeguards provided by the GDPR (Arts. 44 et seq.), such as the adequacy decision on the EU–US Data Privacy Framework or the standard contractual clauses.

Virtual assistant and automated decisions

The virtual assistant answers questions about the site automatically, using the answers entered by HAIDO and, if switched on, the artificial intelligence of a third-party provider. It does not take decisions that have legal effects on you, and we do not carry out profiling. If you leave an email address or phone number in the chat, we will use it to get back to you. The questions asked in the chat are recorded to improve the answers: please do not enter sensitive data.

Security

We apply appropriate technical and organisational measures: encrypted connection (HTTPS), restricted access protected by passwords and limits on attempts, checks on the data sent through the forms, protections against abuse (request limits) and data access restricted to authorised staff. No system is one hundred per cent secure: if a personal-data breach affecting you occurred, we would handle it and notify it in the cases and in the ways required by law.

Minors

The site is aimed at businesses and professionals and does not knowingly collect data from minors. If you think a minor has sent us their data, write to us and we will delete it.

Your rights

You can ask for access to your data, correction, erasure, restriction or portability, and object to the processing (Arts. 15–22 GDPR), by writing to info@haidoengineering.com. You can withdraw your consent to statistics cookies at any time from “Cookie preferences” at the bottom of the page, without affecting the lawfulness of processing carried out before the withdrawal. You also have the right to lodge a complaint with the Italian data protection authority, the Garante per la protezione dei dati personali (garanteprivacy.it), or with the authority of your country.
